Compare proposals without losing the exclusions

The everyday problem

A proposal’s headline scope may appear comprehensive while the exclusions determine much of the actual work. Onboarding, special cases, interfaces, or reporting may be outside the base price. Those differences can remain hidden until the team tries to compare costs line by line.

A practical approach

Normalize proposals against a common task list and estimated workload. Mark each item as included, optional, excluded, or unclear. Ask vendors to resolve unclear entries in writing before treating a quoted price as comparable to another proposal.

Try this with your team

Create an exclusions column in your comparison sheet. Assign an internal owner or an estimated additional cost to every excluded task that your operation still needs.
