Bring a representative case
Prepare a fictional example that reflects your systems, handoffs, and typical exceptions. Ask each vendor to use the same scenario so your team can compare approaches. Avoid sharing patient data during an initial demonstration.
Ask what happens when it fails
A useful demo should show missing inputs, unavailable systems, and tasks that need human judgment. Ask where exceptions appear, who receives them, and how an operator can understand what has already happened. Review the activity history as well as the happy path.
Document the next step
Summarize what was demonstrated, what was described but not shown, and what still needs validation. Request a written implementation scope, support model, and pricing assumptions. A pilot should have agreed success criteria before it begins.
